This Privacy Policy defines how personal data of users of the website kaplia.pro (hereinafter — the “Site”) and the client portal clients.kaplia.pro (hereinafter — the “Portal”) is collected, used, stored, and protected. Together, the Site and the Portal are referred to as the “Services”.

The owner of the Services and the controller of personal data is Individual Entrepreneur Kaplia Vitalii Vitaliiovych (Ukraine, 08520, Kyiv region, Borova, Sosiury St. 2).

By using the Services, you confirm that you have read and agree to the terms of this Policy.

How to read this document: Part I applies to all users. Part II covers the public Site only. Part III covers the Portal only and applies to clients.

The Short Version

This is a plain-language summary for convenience. It does not replace the full text below — in case of any discrepancy, the full text prevails.

  • We collect only what is needed to contact you and provide services: name, email, phone, and technical session data.

  • We never see your card details — payments are processed entirely on LiqPay’s side.

  • Data is stored on servers in Germany and shared only with the technical processors listed in section 4.

  • Conversations with the AI assistant are processed by OpenAI. The subtitles of your voice are recognized locally in your browser and are never sent anywhere.

  • You can request a copy of your data, its correction, or complete deletion at any time.

  • Deleting a portal account removes portal data but does not touch your websites, domains, or backups on the hosting.

  • We do not sell your data, share it with ad networks, or use it for marketing.

Part I. General Provisions

1. Legal Basis

1.1. We comply with the requirements of the Law of Ukraine “On Personal Data Protection”, as well as the general principles of the GDPR (General Data Protection Regulation).

1.2. Data is collected solely to provide services and support users. We do not use it for advertising or marketing purposes and do not sell it to third parties.

2. User Rights

The user has the right to:

  • receive information about their personal data and obtain a copy of it;

  • request correction or deletion of their data;

  • withdraw consent to the processing of personal data;

  • change their own contact details (name, email, phone) in the Portal profile;

  • delete their Portal account or submit a request for complete deletion of personal data.

To exercise these rights, the user may contact us using the details provided at the end of this document, or through the Portal’s support service.

3. Data Storage and Security

3.1. Data is stored on the servers of the hosting provider Hosting Ukraine (physical location — Germany).

3.2. Appropriate technical and organizational measures are taken to protect personal data from loss, unauthorized access, or disclosure. Access to data is strictly limited.

3.3. Data is transmitted using the secure HTTPS protocol.

3.4. Automatic data deletion is not applied.

4. Sharing Data with Third Parties

4.1. Data may be shared exclusively with technical processors required for the operation of the Services:

  • payment systems — LiqPay (a minimal set of technical data, Portal only);

  • analytics — Google Analytics, Microsoft Clarity;

  • hosting provider — Hosting Ukraine, within technical maintenance;

  • authorization and protection services — Google, Cloudflare (Portal only);

  • AI request processor — OpenAI (for the AI assistant on the Site only, see section 7).

4.2. There are no other cases of data sharing, except those directly provided for by the legislation of Ukraine. Data is not sold and is not shared with advertising networks.

5. Changes to the Policy

5.1. This Policy may be updated in case of legislative changes or the development of the Services.

5.2. The current version is always published on this page with an updated date.

Part II. The Public Site kaplia.pro

6. Data from Feedback Forms

6.1. The following data may be collected through the feedback forms on the Site:

  • user’s name;

  • email address;

  • phone number;

  • the text of the message or request;

  • technical information (IP address, browser, device type) — collected automatically for security and analytics.

6.2. Financial or payment data is not collected through the Site.

6.3. This data is used solely to respond to the user, process service inquiries, improve service quality, and for technical and analytical optimization of the Site.

7. AI Assistant (Chat and Voice Mode)

7.1. The Site runs a chat widget with an AI assistant that answers questions in text and voice modes. The assistant’s knowledge base consists exclusively of published materials from the Site.

7.2. Before starting a conversation, the user enters their name and phone number — this is required to contact the user upon their request and to protect the service from abuse.

7.3. While using the assistant, the following is stored:

  • name and phone number;

  • the text of messages and transcripts of voice conversations;

  • the page from which the conversation was started;

  • technical session information (IP address, browser, approximate location by IP);

  • an automatically generated summary of the conversation.

7.4. To generate responses, the conversation content is transmitted to a technical processor — OpenAI — over a secure connection. In voice mode, audio is sent to OpenAI directly from the browser (WebRTC). The subtitles of your voice displayed on screen during the conversation are recognized locally in your browser and are not sent anywhere.

7.5. If the user requests a callback, their name, phone number, preferred contact time, and the conversation summary are sent to the Site owner (via email, SMS, or Telegram).

7.6. Conversation history is stored in the Site’s database. The user may at any time request deletion of their conversation history using the contact details at the end of this document.

8. Cookies on the Site

8.1. The Site uses a cookie banner. Cookies are used for visit analytics, storing technical settings, and improving user experience.

8.2. By continuing to use the Site, the user agrees to the use of cookies.

8.3. The user can disable cookies in their browser settings.

Part III. The Client Portal clients.kaplia.pro

9. Purpose of the Portal and Registration

9.1. The Portal is designed to simplify interaction between the Owner and clients: viewing your own websites, domains, and mailboxes; downloading backups; renewing and paying for services; submitting support requests; accessing related internal services.

9.2. The Portal is an abstraction layer for managing resources. Deleting a Portal account does not affect actual hosting resources.

9.3. Registration is performed automatically upon the first authorization.

10. Data We Collect in the Portal

10.1. Personal data: first and last name (where necessary), email, phone number.

10.2. Technical data: IP address; cookies and session tokens; browser and device data; language settings; authorization and sign-in attempt logs; Cloudflare Turnstile technical data (interaction score, browser signatures — no personal data).

10.3. Payment data: we receive only partial technical data through the LiqPay API. All payments are processed exclusively on the acquirer’s side; the Portal does not store full card details. The Portal stores the history of successful transactions (date, amount, payment type) for accounting purposes, payment confirmation, and display in the user’s profile.

10.4. Data when downloading files: when downloading backups, site files, databases, and repositories, the user may receive files containing the Owner’s confidential information, including ACF and WPML license keys or other technical data that is part of the project’s business logic. This information is provided to the client exclusively within the scope of cooperation.

10.5. Data in system logs: for security and diagnostics, logs may store user_id, email, IP address, and technical request information. Logs are used solely for security and diagnostics, are not available to users, and are not shared with third parties.

10.6. Files and personal materials attached to an account: personal files or private links provided to the client within the scope of cooperation (documentation, project materials, logins and passwords, additional resources) may be attached to an account. These materials are available only to authorized users of the corresponding account, are not displayed to other Portal users, and are not shared with third parties without the data owner’s permission. The Portal does not modify the contents of such files and does not use them for its own purposes.

10.7. Data for invoice generation: if payment via PDF invoice is chosen, the Portal may process the details of an individual, a sole proprietor (full name, tax ID, IBAN, bank, address), or a legal entity (company name, EDRPOU code, IBAN, legal address). This data is used exclusively to generate invoices and financial documents.

11. How Collected Data Is Used

11.1. Data is used for:

  • identifying the user during authorization;

  • security verification (Cloudflare Turnstile, Google OAuth);

  • providing access to the user’s own resources;

  • generating and confirming payments;

  • sending email notifications (successful or failed payment, reminders);

  • the support service;

  • internal analytics.

11.2. Data is not used for advertising or marketing.

12. Authorization and Third-Party Services

12.1. Cloudflare Turnstile is used in standard mode to confirm that a request is made by a real user. Turnstile may receive technical browser data but does not receive personal data.

12.2. Google OAuth / Google One Tap: the Portal may receive an email, a name (if available), and authentication confirmation. Google does not receive data from the Portal.

12.3. Telegram notifications to the administrator are used solely for technical monitoring. Users’ personal data is not transmitted.

13. Cookies in the Portal

The Portal uses cookies to maintain the user session, store language settings, operate the authorization system, protect against bots (Cloudflare Turnstile), and for analytics (Google Analytics, Microsoft Clarity). Cookies are not used for advertising.

14. File Downloads and Responsibility

14.1. By downloading files (backups, databases, repositories), the user confirms their understanding that the files may contain the Owner’s confidential information, including ACF and WPML keys, service settings, and other technical data.

14.2. The user agrees not to share this data with third parties, not to use it outside their own project, and to maintain its confidentiality.

15. Live Support Chat

15.1. The Portal includes a chat widget that allows authorized users to receive prompt support.

15.2. When using the chat, the following data may be processed: the user’s name and email; the text of messages; the date and time of requests; technical data (IP, browser, device); information about the user’s online activity (whether they are currently present in the Portal).

15.3. The chat is used exclusively for communication between the Owner and the User. Chat data is not shared with third parties and is not used for marketing purposes.

16. Invitations

16.1. The Portal supports personal invitations that allow users to automatically gain access to a specific account after signing in.

16.2. An invitation may be used an unlimited number of times unless disabled by the Owner. The account owner bears responsibility for sharing an invitation link with other people. If unauthorized sharing is suspected, an invitation may be revoked at the user’s request or by the Owner’s decision.

16.3. Invitations grant access only after authorization and do not contain personal data by themselves.

17. Automatic Reminders

17.1. The Portal automatically sends service email notifications related to the account, including reminders about the need to renew the service.

17.2. Notifications may be sent 14, 7, 2, and 1 day before the account expiration date.

17.3. Such notifications are not marketing messages and are strictly service-related.

18. Deleting a Portal Account

Standard account deletion removes the Portal’s data but does not delete websites, backups, domains, or mailboxes — these resources are not stored in the Portal and are managed through the hosting. Deleting an account does not affect the servicing of actual resources.
